Terms and Conditions

Welcome! These terms apply to everyone who registers for our programs, participates in our workshops, donates, or uses our website. By engaging with us, you agree to these terms.

Who We Are

Mind Forge runs community and youth-focused programs, including tabletop roleplaying workshops and partnership programs with external organizations. If you have any questions about these terms, you can reach us at info@mindforgeplay.org.

 

Registration and Participation

To register for a program, you'll need to provide accurate information about yourself or the participant. For anyone under 18, a parent or guardian must complete the registration and provide consent.

Spots in our programs may be limited. We reserve the right to:

  • Accept or decline registrations at our discretion

  • Cancel or reschedule sessions due to low enrolment, facilitator availability, or unforeseen circumstances

  • Remove participants from a program if their behaviour disrupts the experience for others or compromises safety

 

Code of Conduct

Our programs are meant to be welcoming, inclusive, and safe for everyone. We expect all participants (and their guardians, where applicable) to:

  • Treat facilitators, staff, and other participants with respect

  • Follow facilitator instructions, especially around safety and group dynamics

  • Refrain from discriminatory, harassing, or harmful behaviour of any kind

We reserve the right to remove anyone from a program for breaching this code, without refund.

Youth Participants

 

For participants under 18:

  • A parent or guardian must complete registration and provide consent

  • We may require emergency contact details and information about relevant medical conditions, allergies, or accommodation needs

  • Parents and guardians are responsible for drop-off and pick-up arrangements, and for ensuring their child can safely participate in the program

  • Photos or videos of youth participants will only be used publicly with explicit parental consent

 

Payments, Donations, and Refunds:

Program fees and donations are processed through secure third-party providers. By submitting payment, you confirm you're authorized to use the payment method provided.

Refunds are handled according to our [Refund Policy]. Donations are non-refundable.

Intellectual Property

 

All content we create, including promotional materials, session content, written materials, and visuals, belongs to us or our collaborators. You're welcome to share our public posts and promotional materials, but please don't reproduce, modify, or use our content for commercial purposes without permission.

If you submit content to us (e.g. feedback, photos, testimonials), you grant us permission to use it for promotional or program-related purposes, unless you tell us otherwise.

 

Third Party Services and Partners

We work with partner organizations, facilitators, and service providers (like payment processors and email platforms). We're not responsible for the policies or actions of third parties, but we choose our partners carefully and only share information with them as outlined in our Privacy Policy.

Assumption of Risk

Our programs are designed to be safe and enjoyable, but participation involves some inherent risks (e.g. social interaction, physical movement during in-person events). By registering, you (or the parent/guardian of a minor participant) acknowledge and accept these risks.

 

Limitation of Liability

To the extent permitted by law, Mind Forge, its facilitators, staff, and partners are not liable for any indirect, incidental, or consequential damages arising from participation in our programs or use of our services. Our total liability for any claim is limited to the amount you paid us (if any) for the program in question.

This section does not limit any rights you have under applicable consumer protection laws.

 

Changes to These Terms

We may update these terms from time to time. The most current version will always be posted on our website, with the date of the last update. Continued participation after changes means you accept the updated terms.

 

Governing Law

These terms are governed by the laws of the Province of Ontario and the applicable laws of Canada. Any disputes will be handled in the courts of Ontario.

What to include in the T&C document

Generally speaking, T&C often address these types of issues: Who is allowed to use the website; the possible payment methods; a declaration that the website owner may change his or her offering in the future; the types of warranties the website owner gives his or her customers; a reference to issues of intellectual property or copyrights, where relevant; the website owner’s right to suspend or cancel a member’s account; and much, much more.
